TRIBE’s Services

TRIBE provides

  • Recruitment consultancy services placing candidates on a permanent or contract basis across a range of industries and geographies under the TRIBE brand (“Recruitment Services”); Consultancy, and Advisory Services (“Consultancy Services”).
  • We operate in Japan and make every effort to provide the best solutions for our clients.
  • When we obtain your personal data it is for the conduct of our Recruitment Services and Consultancy Services. If we share your personal data with our clients as part of our services, it is so that our clients may process your personal data according to their recruitment policies. In some cases, our clients may request additional personal data from you as part of their hiring processes.

The Types of Personal Data TRIBE May Collect

  • Personal data is any information relating to an identified or identifiable person. We will only collect personal data that we are permitted to collect by the law of Japan. Below is a list of the types of personal data that we often collect.

Contact information

  • Your telephone number(s), email address(es), home address, etc.

Identification information

  • First name, Last name, Title, Maiden name, Date of Birth, Nationality and other information relating to Residency and Citizenship which may be required to establish a right to work in a given country, etc.

Career and Education information

  • Current and previous employment history; Educational history and credentials, Skills, Qualifications, Social media, etc.

Employment-related information.

  • The type of role you are currently looking for, what work-related areas interest you, third party references (if requested by the client) and interview and assessment feedback created either by a representative of TRIBE or by our client following an interview or assessment.
  • Current and/or previous remuneration and other compensation benefits.

Citizenship and other Residency-related information

  • Residency and Immigration status, etc.

How TRIBE collects personal data

We generally collect your personal data directly from you. For example, we collect your personal data when you:

  • Meet with us in person, via our website, by telephone, or by email;
  • Respond to one of our recruiters or representatives who has contacted you;
  • Submit any other information to us, such as a CV;

We may also collect your personal data from publicly available sources where permitted in the jurisdiction, including:

  • Your identity and historical data from social media sites, such as LinkedIn, Twitter and Facebook;
  • Your identity, from qualification and membership lists of professional bodies.

How TRIBE uses personal data

We will only use your personal data in accordance with the law of Japan, and the uses set out below will be subject to that requirement.

Candidates:

Your personal data may be collected and handled by us in order to:

  • Provide career and recruitment services to or for you;
  • Provide you with information which may be of interest to you in regard to the employment market and opportunities.
  • Inform you about any relevant industry developments, events, promotions and competitions, and to communicate any other relevant information;
  • Match your details to job vacancies which we determine to be appropriate for you and in order to assess your suitability for the role(s);
  • Allow you to submit your CV, apply for specific jobs or so that we are able to notify you when relevant job vacancies arise;
  • Apply for jobs on your behalf by sending your personal data to clients;
  • Facilitate the recruitment process if a client wishes to progress your application;
  • Fulfill our contractual obligations to our clients;
  • Answer your enquiries or questions;
  • Comply with our regulatory commitments;
  • Conduct pre-employment screening.

Referees:

  • We may use your personal data for the sole purpose of conducting reference checks.

Website users:

Your personal data may be collected and handled by us in order to:

  • Improve our services and your customer experience;
  • Send you information that you request from TRIBE.
  • We may contact you by email, telephone, SMS, or via social media.

Who TRIBE May Share Your Personal Data With

Subject to Japanese law, we may disclose your personal data to:

  • Prospective employers;
  • Other recruitment companies or intermediaries involved in managing the recruitment process at one of our clients;
  • Pre-employment screening and background checking organisations;
  • Your referees;
  • Government and regulatory bodies, such as tax and social security authorities.

Data Retention

TRIBE’s aim is to support you throughout your career and through all of your jobs and companies. As such, we may retain your data for a period of time greater than simply one placement if we reasonably believe that we will continue to have an ongoing relationship with you.

  • We only retain your personal data for as long as is necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting or reporting requirements.
  • We will appropriately and securely dispose of your personal data when it is no longer required.

Your Privacy Rights

TRIBE complies with all of the laws, guidelines and regulations concerning the protection of personal information, specifically stipulated by the Japanese government as relates to our business.

Data security

TRIBE will always keep your personal information safe and accurate by constantly updating it to the best of our ability.

  • We hold your personal data in a combination of secure computer storage and paper-based files.
  • We limit access to your personal data to those employees who have a business need to know basis and they are fully subject to the same confidentiality regulations.
  • We take reasonable information security measures against illegal access and invasion of computer viruses, in order to protect the information against loss, destruction, falsification or leakage.
  • Should such an incident occur, TRIBE shall take appropriate actions swiftly and in accordance with our policies and countermeasures for emergencies regarding personal information.
  • If you suspect any misuse, loss of or unauthorised access to your personal data, please contact us immediately.

Changes to TRIBE’s Privacy Policy

We reserve the right to change this policy from time to time. Changes will be notified on our website seven days before taking effect. We may make emergency changes to this policy when we believe it is reasonable to do so and/or to comply with Japanese legal or regulatory requirements.
